1. What this policy covers
This Privacy Policy explains what information MonitorFree collects when
you use our website, dashboard, and monitoring agents, why we collect
it, and the choices you have. "Personal data" here means information
that identifies you or your account.
2. Information we collect
- Account information. Your email address, hashed password (or SSO identifier), and account preferences such as your theme and preferred currency.
- Server metrics. CPU, memory, disk, network, and related performance data reported by the agent you install on your own servers, along with server metadata (name, OS, agent version).
- SSH credentials, where you choose to use SSH terminal or SFTP features. These are stored encrypted at rest and used solely to establish the connection you request; we do not use them for any other purpose.
- Session and security data. IP address and user-agent string are logged with login and session activity for account-security purposes (e.g. detecting suspicious sign-ins).
- Billing information. Subscription and payment status, plan tier, and transaction references. Card and payment details themselves are handled directly by our payment processor, Razorpay — we do not store your full card number.
- Support content. Anything you submit through a support ticket, including message text and file attachments you choose to upload.
- Alert-integration details you configure. If you connect Telegram, Slack, or a webhook URL for alerts, we store what's needed to deliver alerts to that destination.
3. How we use this information
- To operate the Service: display your servers' metrics, evaluate alert thresholds, and carry out remote actions you explicitly request;
- To authenticate you and keep your account secure;
- To process subscription billing and communicate about your plan;
- To respond to support requests;
- To send service-related notices (e.g. alert emails, billing receipts, security notices) and, where you've opted in, product updates;
- To maintain the audit trail of remote actions taken on your servers.
4. Third parties we share data with
We do not sell your personal data. We share limited data with the
following categories of service providers, only as needed to run the
Service:
- Razorpay — our payment processor, for subscription billing and payment confirmation.
- Our transactional email provider — to deliver account, billing, and alert emails.
- Telegram / Slack / webhook endpoints — only if and where you configure these integrations yourself; the alert content is sent to the destination you specify.
- Google Analytics — only on our marketing site (not the dashboard), and only if you accept "Performance" cookies in the cookie banner; see section 7.
We do not use third-party advertising trackers, and we do not sell or
rent your data to marketers.
5. Data retention
Account data is retained for as long as your account is active. Server
metrics are retained for a limited window tied to your plan rather than
kept indefinitely — as of this policy's last update, our default
infrastructure retention window for raw metrics is 30 days, with
specific history windows shown per plan on our
pricing page; check your plan's
features for the exact figure that applies to you, since this can
change as plans evolve. Ticket attachments and support history are
retained as long as reasonably needed to provide support and for our
own record-keeping. When you delete your account, we delete or
anonymize personal data within a reasonable period, except where we're
required to retain certain records (e.g. billing records) for legal or
accounting purposes.
6. Your rights
Depending on your location, you may have rights to access, correct,
export, or delete the personal data we hold about you. You can update
most account details directly from your dashboard's settings. To
request an export or deletion of your account and associated data,
contact us through the support ticket system at
app.monitorfree.com/support
while logged in, or by email at
privacy@monitorfree.com.
We'll verify your identity before acting on the request.
7. Cookies and your choices
On first visiting our marketing site, you're asked to choose which of
the following categories of cookies you're okay with. You can change
your choice at any time via the "Cookie preferences" link in the
footer of any marketing page.
- Strictly necessary (always on). Session/login cookies and remembering your currency and theme preference. The site and dashboard can't function without these, so they're not optional.
- Performance. Google Analytics, used in aggregate to understand which pages get used. Nothing in this category loads until you accept it — declining means no Google Analytics script runs and no analytics cookies are set.
- Targeting. Not currently used — we don't run any third-party advertising or cross-site tracking pixels on the marketing site or dashboard.
- Functionality. Not currently used — reserved for optional convenience features that may need it in the future; nothing reads this category today.
Declining or accepting doesn't affect the dashboard's own session
cookie, which only keeps you signed in and isn't used for tracking or
analytics.
8. Data security
We use industry-standard measures to protect your data, including
encryption of sensitive fields such as stored SSH credentials, and
access controls limiting who can view account and server data. No
method of transmission or storage is 100% secure, and we can't
guarantee absolute security.
9. Children's privacy
The Service is not directed at children, and we do not knowingly
collect personal data from anyone under 18.
10. Changes to this policy
We may update this Privacy Policy from time to time. Material changes
will be reflected by an updated "Last updated" date on this page.
